Administrative Assistant Role
Administrative and operational support for a fast-growing online coaching company serving female health and wellness entrepreneurs.
Primary Responsibilities:
- Execute administrative tasks quickly and accurately to support daily business operations
- Assist managers with scheduling, inbox support, and internal organization across platforms
- Work inside GoHighLevel, Google Suite, Canva, and social platforms to execute tasks
- Communicate task status and completion clearly and proactively with team members

Tech We Use
- Significant experience with Google Sheets, Google Docs, Slack, GoHighLevel, Canva, Instagram, TikTok, Zoom, and Meta Ads Manager is required.
Administrative, Operations & Project Management Support
- Manage calendars, scheduling, inbox support, and internal communications
- Prepare documents, trackers, spreadsheets, and internal resources
- Maintain organization across files, folders, and shared drives
- Support leadership with day-to-day admin needs across the business
- Assist leadership with project management by organizing tasks, tracking priorities, and ensuring projects are executed on time and communicated across the team
Tech & Systems Execution
- Set up and manage automations, workflows, and email campaigns in GoHighLevel
- Maintain accurate data and reporting using Google Sheets and pulling data from GoHighLevel, meta ads dashboard, and internal team member communications
- Ensure systems are clean, organized, and functioning properly
- Present information to company leadership in a clear and organized way
Team Support
- Take over administrative responsibilities currently handled by multiple team members related to operations, fulfillment, scheduling, tech, and design
- Execute tasks quickly and correctly with minimal oversight
- Communicate clearly and proactively when tasks are completed or blocked
BONUS - Possible Social Media Support
- Schedule and post content across Facebook, Instagram, and TikTok
- Assist with content organization, captions, uploads, and formatting
- Create or edit social media graphics and reels using Canva based on the guidelines and training provided
Experience
- 2+ years experience as a Virtual or Administrative Assistant in the online coaching / business mentorship space preferred
- Familiarity with:
- GoHighLevel (GHL)
- Google Suite
- Canva
- Facebook, Instagram, and TikTok (possible tasks related to backend + posting)
- Proven ability to manage multiple tasks simultaneously without dropping details
- Strong organizational skills and follow-through

This role is responsible for ensuring systems, projects, and day-to-day operations are handled with speed, accuracy, and attention to detail while upholding the high standards and mission of the brand.
This is an execution-driven role for an experienced Administrative Assistant who understands the pace of the online coaching industry and can consistently manage multiple priorities without dropping details.
